Estate gate with security post and boom barrier while a visitor shows an access code on a phone

Every gated estate in Nigeria has a version of this scene. A car pulls up. The driver says, "I'm going to No. 14." The guard calls the resident, who doesn't pick up. A queue builds behind the car, horns start, and the guard has to decide: let them in or keep them waiting?

The gate is your estate's first line of security, but in many places it still runs on a paper logbook, phone calls and the guard's judgement. Visitor access codes are changing that. This post explains what they are, why they make gates safer, and how to roll them out in your estate.

The problem with the logbook-and-phone-call approach

The traditional process has served estates for years, but it has real weaknesses:

  • Guards can't verify who is expected. A visitor can name any house number. Unless the resident answers the phone, the guard is guessing.
  • Records are incomplete. Handwriting is hard to read, entries are skipped at busy times, and logbooks get lost or damaged.
  • No real-time visibility. If something goes wrong, the committee or FM company has to dig through pages to understand who came in and when.
  • Pressure on guards. Arguments at the gate put guards in a difficult position, especially when an impatient visitor claims to know someone important.
  • Regular visitors are a hassle. Cooks, drivers, cleaners and tutors who come every week still go through the same questions each time.

What is a visitor access code?

A visitor access code is a unique code a resident creates on their phone for someone they are expecting. The resident shares it with the visitor by SMS or WhatsApp. At the gate, the visitor gives the code, the guard checks it in the app, and the system confirms who the visitor is coming to see.

There are two main types:

  • One-time codes for a single visit: a friend coming for dinner, a delivery rider or a plumber.
  • Recurring codes for people who come regularly: domestic staff, drivers, a child's lesson teacher, or a trusted business that serves the estate.

Every code that is used shows up in a live gate log, so security staff and administrators can see access events as they happen.

Why access codes make gates safer

1. The resident vouches before the visitor arrives. The decision to let someone in is made by the person who actually knows them, not by a guard reading a name off a scrap of paper.

2. Fewer arguments at the gate. "Do you have a code?" is a simple, neutral question. Guards follow a clear rule instead of making judgement calls under pressure.

3. A reliable digital record. Every entry is logged with the time and the resident who invited the visitor. If there's ever an incident, the committee has a clear trail to review.

4. Faster entry for genuine visitors. Expected guests get in quickly, which residents notice and appreciate.

5. Better control of regular staff. Recurring codes make it easy to see which domestic staff and service providers are coming in, and to stop access the moment someone is no longer working for a household.

Connecting software to the physical gate

Access codes are powerful on their own, but some estates want to go further and connect the app to physical security. On XTEREA's Maximum Coverage plan, the platform integrates with CCTV and boom gates, linking what happens in the app with what happens at the barrier. That gives committees and FM companies a fuller picture of gate activity in one place.

Not every estate needs hardware integration on day one. Many start with codes and the live gate log, then upgrade when they're ready.

How to introduce access codes without upsetting residents

Change at the gate affects everyone, so plan the rollout carefully.

Explain the "why" first. Share the reasons at a general meeting or in a short note: safer gate, fewer delays, better records. Residents accept change more readily when they understand the benefit.

Onboard residents before switching over. Make sure every household has the app and knows how to generate a code. Offer a short help session for older residents or anyone less comfortable with smartphones.

Train your guards. Guards are central to success. Walk them through verifying a code, checking the live gate log and handling visitors who arrive without one.

Have a fallback. Agree what happens when a visitor arrives without a code. For example, the guard calls the resident, who can then generate a code on the spot. A clear fallback stops the gate from becoming a bottleneck.

Run a trial period. Two to four weeks with both systems side by side helps everyone adjust before the logbook is retired.

Review and adjust. After the first month, ask guards and residents what's working and refine the process.

Security works best when the estate is organised

A safer gate depends on more than codes. It depends on an accurate resident list, guards who are paid on time, and residents who are kept informed. That is why XTEREA puts security alongside the rest of estate management:

  • Smart access control: one-time and recurring visitor codes, resident self check-in, longer-lasting codes for trusted businesses, and a live gate log
  • Levy collection: flexible payment periods, automated reminders and a clear view of who has paid, so security contracts stay funded
  • Communications: SMS, email and in-app messages in one send, plus instant security alerts
  • Resident database: complete records of residents, visitors, payments and complaints

Quick checklist for your committee

  1. Agree at a meeting to move from logbook to access codes
  2. Choose a platform and confirm your resident list
  3. Onboard residents and offer help sessions
  4. Train guards and agree a fallback process
  5. Run a trial period, then retire the logbook
  6. Review gate activity regularly using the live log

See it in action

Your gate shouldn't depend on whether a resident picks up the phone. With visitor access codes and a live gate log, your guards have a clear process and your residents get a safer, smoother estate.
